Terms & Conditions for the Coca‑Cola 125 Years Thank You Fund

Coca‑Cola is investing €125,000 in the Coca‑Cola 125 Years Thank You Fund (‘The Fund’). This money will be granted to not for profit community, voluntary and charitable organisations throughout the island of Ireland. The intention is that the money will be used to help fund projects in the following areas:

  • Social and Education programmes aimed at youth
    For example, not for profit community, voluntary and charitable organisations that work with young people to help improve access to education and organisations that support young people at risk as a result of economic or social issues.
  • Healthy and Active Lifestyles
    For example, not for profit community, voluntary and charitable organisations that facilitate access to exercise and physical activity and organisations that run programmes that encourage lifestyle/behavioral changes as well as organisations that help to educate people about the role of nutrition in a healthy lifestyle.
  • Environmental Leadership
    For example, not for profit community, voluntary and charitable organisations that work in the areas of recycling or reuse, those that are focused on water projects or organisations focused on educating people about sustainable practices.

Applications will only be received online as we aim for this to be a paperless and environmentally friendly giving scheme. In order to access the application form, applicants must complete and satisfy the preliminary eligibility questions.

1. Eligibility
Entry is open to not for profit community, voluntary and charitable organisations whose work contributes to the quality of life of communities on the island of Ireland.

A) In order to be eligible you must fulfil the following criteria:
(i)Not for profit community, voluntary and charitable organisations must be classified under one or more of the following headings:
- Charitable organisation with a registered charity number
- Voluntary organisation working within the community
- Not for profit community organisation
- Local sports club e.g. GAA Club
- A Foundation or a Trust

(ii) Only proposals relating to requests under one of the following three themes will be considered:
- Social and Education programmes aimed at youth
- Healthy and Active Lifestyles
- Environmental Leadership

(iii) Organisations must have been in operation for a minimum of 12 months.

(iv) Proof must be available to Coca‑Cola if requested.

(v) An application is not deemed to be eligible until it is validated by the Coca‑Cola team. Applicants will be notified of ineligibility by email. Coca‑Cola reserves the right to make final decision on eligibility.

(vi) Any individual applying on behalf of an organisation must be aged 18 years or older.

(vii) The proposed project must benefit people resident on the island of Ireland.

B) Applications will not be considered from the following:
- Individuals
- Organisations that discriminate based on race, colour, gender, religion, sexual orientation, age or disability
- Religious endeavours
- Political, legislative or lobbying organisations
- Movie, film or television documentaries
- Concerts or other entertainment events
- Travel or organised field trips
- Schools
- Third party fund-raising activities
- Dangerous sports / high-risk venture clubs e.g. parachute and bungee jumping

2. Application Process and Decision Making
A) Applications will only be accepted through the Coca‑Cola 125 Years Thank You Fund official online application form which can be accessed via www.coca-cola.ie.

B) Applications will only be accepted during the period from May 8th to June 30th, 2011. Applications received after midnight on June 30th, 2011 will not be considered.

C) Entries are open to organisations based in the Republic of Ireland and Northern Ireland only.

D) Applications must be made online and must include a rationale for why your organisation deserves funding. URLs can be supplied with the application form which can lead to videos or images which you believe add weight to your application.

E) All decisions are based on the information received on the application form and therefore quality and accuracy are important as no further correspondence will be entered into. Coca‑Cola reserves the right to verify all information on the application form.

F) 45 organisations will be shortlisted based on the following criteria: the potential impact of the proposed project on the community, organisation’s capacity to deliver the project; project’s innovative approach and quality of application.

G) The shortlist will be selected by a panel including a representative from Coca‑Cola, The Wheel, NICVA and Q4PR.

H) The shortlisted organisations will be notified during August 2011.

I) The shortlisted organisations will be put to a public online vote during the period September 1st to September 30th, 2011. Information on the voting process will be made available on www.coca-cola.ie. All applicants and voters must also comply with the terms and conditions of Facebook and www.coca-cola.ie.

J) The number of votes is restricted to one per person. Voters must be over 13 years of age and anyone between the ages of 13 and 18 needs permission from their guardian.

K) The public vote will account for 50 per cent of the final decision and a vote by a judging panel will account for the remaining 50 per cent. The vote by the judging panel will take place in tandem with the public vote.

L) The panel of judges will be asked to vote for their top 15 organisations in order of preference, taking into consideration the following criteria: the potential impact of the proposed project on the community; organisation’s capacity to deliver the project; project’s innovative approach and quality of application.

M) The 10 projects with the highest score will be the recipients of the €10,000 grants. Five runners up will be awarded grants of €5,000. In the event of a tie the judges’ reserve the right to make a final decision.

N) All decisions are final and no further correspondence will be entered into.

O) If there is any irregular voting Coca‑Cola reserves the right to remove votes from an applicant.

P) Should Coca‑Cola find that any application is in breach of the terms and conditions then Coca‑Cola reserves the right to remove them from the process.

Q) The Fund is not open to employees of Coca‑Cola or their spouses, partners, children or anyone connected with the Fund. Coca‑Cola reserves the right to declare the draw void if Coca‑Cola believes the integrity of the competition has been breached in any way.

3. Prize
A) Ten organisations will each receive a grant of €10,000. All organisations should spend the €10,000 on the project as outlined in their application form. If for some reason the organisation seeks to use the money in an alternative way, the organisation should seek written permission from Coca‑Cola first.

B) Five further shortlisted organisations will each receive a grant of €5,000. All organisations should spend the €5,000 on the project as outlined in their application form. If for some reason the organisation seeks to use the money in an alternative way the organisation should seek written permission from Coca‑Cola first.

C) The recipients of the grants will be notified in October 2011. Notwithstanding that the winners have been declared, if Coca‑Cola discovers before distribution of the grants that for any reason under these rules an awardee should have been ineligible or if the entry should have been declared invalid, Coca‑Cola reserves the right to determine that an awardee is disqualified.

D) Recipients of grants must notify Coca‑Cola when the project is complete and have evidence available to show that it was spent in the way proposed during the application process. Otherwise Coca‑Cola reserves the right to reclaim the money.

4. Publicity
A) The names of the shortlisted organisations as well as the proposed projects may be used in press activity e.g. national and local press releases for print and broadcast as well as details to be published on www.coca-cola.ie.

B) In consideration of participation, all applicants agree to participate in publicity relating to the promotion of the Coca‑Cola 125 years Thank You Fund. Completed application forms will be forwarded to an external public relations agency managing public relations for this programme on behalf of Coca‑Cola.

5. Miscellaneous
A) The names of the winning organisations and details of the proposed projects will be published on www.coca-cola.ie

B) Coca‑Cola reserves the right to amend, withdraw or terminate this Coca‑Cola 125 Years Thank You Fund initiative or alter the specification without prior notice.

C) All applicants and voters must also comply with terms and conditions of Facebook and Coca‑Cola.ie.
